Sell visa services

A visa is a service you perform, not inventory you resell. You publish what you offer, customers apply and pay, and then you work the application with them until it is issued or refused.

Part 1 — Publish what you offer

Visa Services

A visa service is one destination country. Inside it you create visa types — the actual products customers buy.

Creating a service

Choose the destination country, then add at least one visa type. Each country can have only one visa service; to sell another type for it, add the type to the existing service.

Each visa type

FieldNotes
TitleWhat the customer sees, e.g. Tourist 1 Month
DurationA whole number plus a unit — hours or days
Adult price12 years and above
Child price2 to 12 years
Infant priceUnder 2 years
Origin restrictionsSee below
Issuance timeMinimum, maximum and average. Optional
General descriptionWhat this visa type is. Optional
RestrictionsAnything that limits who can use it. Optional
Required documentsWhat the applicant must provide. Optional

The title, duration and all three prices are required, and prices are whole amounts.

Origin restrictions

Decide who may apply for this type:

SettingBehaviour
Allow all origin countriesNo restriction
Allowed originsOnly travellers from the countries you list can apply
Banned originsTravellers from the countries you list cannot apply

Use this where a consulate genuinely will not process certain nationalities, or where you do not want to take the work. Nationality is optional in the visa search: a customer who picks one sees only the types open to it and cannot buy one that bans it. Each visa card lists the allowed or banned countries.

Write the required documents carefully

This is the single field that saves you the most work. Customers send documents through the request's conversation when you ask for them, so a complete list lets them send everything in one go.

Pricing

Visa services have no markup. The prices you enter are what the customer pays, so they need to include your fee as well as the consular cost.

One country can carry many types — Tourist, Business, Student, Transit — each with its own prices, restrictions and documents.

Part 2 — Process applications

Visa Requests

Two statuses run in parallel

Request statusPayment status
Awaiting sellerUnpaid
Awaiting customerPaid
Issuing
Issued
Rejected

A request is Unpaid until the customer pays. If the customer abandons the payment, the request is removed; once paid, it lands at Awaiting seller. Both are filterable, and you can search by Country. The payment status filter also lists Pending and Failed, but requests do not currently reach either, and searching by contact email or contact mobile does not currently work.

A request cannot be worked until it is paid

Until the payment status is Paid, the update form is unavailable. This is deliberate — it stops work starting on an application that was never funded.

The daily loop

  1. Filter the list to Awaiting seller.
  2. Open a request. You get the summary — country, visa type, contact email and mobile, customer note, total price and payment status — plus the applicants, the uploaded documents and the conversation.
  3. Read what is there. Documents are labelled by kind: Passport, Photo, Invitation, Financial, Education, Other.
  4. Decide what happens next.

Updating a request

The update form takes:

FieldNotes
Target statusWhere the request moves to
Seller noteA message to the customer. Required when the target status is Awaiting customer or Rejected
Per-applicant visa outputsOnly when you are issuing

For each applicant on an issued request you record: visa status, visa number, issued-at date, expires-at date, visa information and the visa file. All six are required for every applicant, and the expiry date must be on or after the issue date.

The target statuses on offer depend on where the request is:

FromCan move to
Awaiting sellerAwaiting customer, Issuing, Issued, Rejected
Awaiting customerAwaiting seller, Issuing, Issued, Rejected
IssuingAwaiting customer, Issued, Rejected

Each applicant carries its own status — Pending, Issued or Rejected — so a family application can be partly successful.

Issued and Rejected are final

A request in either state can no longer be updated. Record everything you need before you move it there.

The conversation

Every request has a message thread between you and the customer, and it is where the back and forth happens. Your seller note goes into it when you update the request. The customer can reply, with a message and documents, only while the request is Awaiting customer. Their reply does not move the request: read it, then set the next status yourself.

Scenarios

A family of four applies and one is refused

Record each applicant's own visa status. Set the refused one to Rejected with its own details, and the others to Issued with their visa numbers and files. The request itself goes to Issued.

A customer's passport photo is unreadable

Write a seller note saying exactly what you need, set the status to Awaiting customer, and update. When they have sent a replacement through the conversation, move the request on yourself.

You cannot process a nationality for a destination

Add that country to the type's Banned origins, or list only the nationalities you handle under Allowed origins. Customers who give that nationality do not see the type and cannot buy it.

A request sits Unpaid for days

You cannot work it: the customer has not completed the payment.

You want to offer the same country at two service levels

Two visa types under the same country — for example Tourist 1 Month — Standard and Tourist 1 Month — Express — with different prices and different issuance times.

Important notes

  • Deleting a visa service deletes all of its types.
  • Visa services carry no markup. Set prices to cover both the consular fee and your own.
  • Visa requests produce no ticket or voucher. The output is the per-applicant visa file you upload.
  • Origin restrictions are checked only when the customer gives a nationality. The visa search hides the types that do not accept it, and the purchase is refused.
  • Issuance times are shown to customers as a promise. Be conservative.
