Sell your own tours
Tours are the one product you are the supplier for. Nothing is sourced, nothing is marked up — you build the product, set its price, open its departures, and confirm every booking yourself.
The structure
Three layers, and getting them straight saves a lot of confusion.
| Layer | Answers | Example |
|---|---|---|
| Tour | What is this trip? | Classic Anatolia, 7 days |
| Schedule plan | How is it sold? | Standard — 900 per adult, includes breakfast and guide |
| Schedule time | When does it run? | 12–18 May, 30 seats |
One tour can have several plans; one plan has many departures.
Before you start
| Need | Where |
|---|---|
| Static Tour is switched on under Storefront Services | Seller Information |
| The services you want to list as included | Tours → Tour Services |
Tour services are reusable — "Airport transfer", "Breakfast", "English-speaking guide" — and you attach them to schedule plans. Build the ones you use often before building your first tour, though you can also create one mid-flow.
Where to start
Tours is a hub with six tiles:
| Tile | Does |
|---|---|
| View Tours | Browse and manage everything you have built |
| Create Tour with New Info | Start the builder from scratch |
| Create Tour with AI Assistant | Build or change a tour in a conversation. Shown only while your platform operator has the assistant switched on and your role has access to it |
| Edit Tour | Pick an existing tour and edit it |
| Create Tour with Previous Info | Duplicate an existing tour as the starting point |
| Tour Services | Manage the reusable inclusions |
Duplicating is the fastest route to a second tour on the same route with a different itinerary.
There are two ways to build and to change a tour: the builder, step by step, and the AI assistant, in a conversation. They save the same tour through the same rules, so you can start in one and continue in the other.
Building a tour
The builder is four steps.
Step 1 — Tour details
| Section | Fields |
|---|---|
| Tour name | Tour name, tour category, display language, tour description (at least 10 characters) |
| Origin details | Origin |
| Tour destinations | One or more destinations |
| Event information | Organizer name, locations (comma separated) |
| Transport information | Type — Bus, Train, Airplane or Personal — plus a title and description |
| Accommodation information | Type — House, Hotel, Tent, Motel, None or Other — plus a title and description |
| Passenger information | Which details travellers must provide |
| Slug | Your tour code |
The slug is your tour code. The panel generates a code such as sky042, and Change tour code draws another; you type the rest in English letters and hyphens, and the screen suggests destination names, for example tokyo-toronto-new-york. Every tour code must be unique, and the slug cannot be changed once the tour is created.
Passenger information decides what you collect at booking: passport number, date of birth, passport issue and expiry dates, national ID, gender, phone, citizenship, residence, place of birth, place of issue. A separate switch decides whether you collect these for every passenger or only the lead one.
Ask for less and more people finish booking. Ask for what the destination actually requires.
Step 2 — Images
Upload the photos travellers will see. JPEG, JPG, PNG and WebP, up to 5 MB each.
Step 3 — Schedule plans
A plan is a priced package.
| Field | Notes |
|---|---|
| Schedule name | How the plan appears, e.g. Standard or Premium |
| Payment method | Payment gateway, Cash, or Card number. Customers can use a club coupon only on a Payment gateway plan |
| Price per adult | Required |
| Children allowed | Off means no children on this plan; on requires a child price |
| Price per child | Required when children are allowed |
| Minimum / maximum passengers per order | Optional. Minimum empty means 1; maximum empty means no limit |
| Extra cost and Extra cost currency | An empty extra cost counts as 0; the currency starts as your store currency |
| Services | At least one, picked from your tour services |
| Description | Rich text, up to 100,000 characters, with images from a reusable media library |
The media library takes JPG, PNG or WebP images up to 5 MB, and any plan can reuse them. An image used in a plan description cannot be deleted from the library.
Booking questions
Two optional sets of questions, and the difference matters:
| Set | Asked | Use for |
|---|---|---|
| Booking questions | Once per order | Pickup point, special requests |
| Passenger questions | For every passenger | Dietary needs, weight, shirt size |
Each question has a title, optional help text, a required switch, and an answer type: short text, long text, number, choice list, date, or yes/no. A choice list needs at least one choice and allows up to 50; a number question can carry a minimum and a maximum. Up to 20 questions per list.
Answers arrive with the booking and are visible in Tour Orders.
Last-minute discount
An automatic discount on departures that are about to leave with unsold seats. Switch on Last-minute discount on the plan to reveal its fields.
| Field | Range | Meaning |
|---|---|---|
| Days before departure | 1–30, required while the discount is on | How early the discount starts |
| Discount percent | 1–90, required while the discount is on | Taken off the sale price |
| Seat threshold | 1 or more, optional | The discount activates once this many seats or fewer are left. Empty discounts the whole window. |
The form shows a price preview as you set it. Switching the discount off clears all three fields. The rule applies to every departure of that plan.
A departure can set its own Last-minute discount override, a percentage (1–90) for that departure only. It has no effect while the plan's discount is off, and the field is greyed out until you switch it on. In the departures list, the Last-minute column shows the override and the deal in effect today.
Discounted departures feed the Last-minute tour deals block on your home pages.
Step 4 — Schedule times
The departures themselves. Each carries start and end dates, start and end times, capacity, and optionally its own adult price, child price, extra cost and last-minute override. The start date cannot be in the past, and a departure that starts and ends on the same day must end after it starts.
Only a Planned departure can be edited. Duplicate copies a departure, and Cancel time cancels a Planned or In progress one.
Creating many at once
Bulk times generates a series from a rule rather than one at a time.
| Field | Meaning |
|---|---|
| Generate from / until | The date range. Cannot start in the past, cannot end more than 2 years out |
| Repeat pattern | Daily, Weekly, or Back to back |
| Every N days / weeks | The interval — 1 means every one, 2 every other |
| Gap between departures | For back-to-back: 0 makes the next depart on the previous one's last day |
| Days of the week | For weekly |
| Tour length | Inclusive days — 4 means the 25th to the 28th |
| Capacity, prices, extra cost | Prefilled from the plan; edit to override |
| Excluded dates | Dates to skip |
A projection tells you roughly how many departures the rule will create before you commit, and a preview table lets you deselect individual rows and flags duplicates. A single rule can create at most 366 departures.
If your rule creates departures that overlap, the preview warns you. Capacity is held per departure, never pooled per day.
Undo bulk create removes the last generated series — except departures that already have bookings or are no longer planned, which stay and must be handled one by one.
Editing and removing in bulk
Select departures and use Bulk edit to change capacity, adult price or child price. Only the fields you switch on are sent; everything else keeps its current value. Departures that can no longer be edited are skipped and reported.
Bulk delete removes the selected departures — but:
A departure that already has bookings is kept and reported back to you. Cancel it instead.
Building with the AI assistant
Open Create Tour with AI Assistant and describe the trip. The assistant asks for what it needs, a few questions at a time, and works through the same four steps as the builder: tour details, photos, a schedule plan, departures.
- Tour details. Answer its questions. When it has everything, it shows a card with the whole tour. Click Confirm to create it, or Reject and say what to change.
- Photos. It opens the Tour photos window. Add at least one photo, five or more if you can, and click Done.
- Schedule plan. Give it the price, and pick the payment method and the services on the cards it shows; Create a new service adds one that is missing. It then asks about each optional part, such as the booking questions and the last-minute discount. On the card, Edit and add images lets you add images to the plan's description. Confirm the card.
- Departures. Give it one date, or a rule such as "every Saturday from June to September, 7 days, 30 seats". For a rule it tells you how many departures that makes before it asks you to confirm.
Choices with a fixed set, such as the category or the transport type, are picked on a card. The assistant says which details are required and which are optional.
You can ask it to write the title and the descriptions, or to fill in whatever is missing, prices and dates included. It tells you what it chose, and nothing is saved until you confirm the card.
Changing a tour with the assistant
Click Edit with AI on the tour picker or at the top of the builder, or tell the assistant in a new conversation that you want to change one of your tours and pick it from the list.
Say what should change, for example "make the description longer and mention the boat trip" or "raise the adult price to 950 on the departures in July". The card shows each field before and after, and nothing is saved until you click Confirm.
A change to the tour details or to a schedule plan returns it to Pending Review. The assistant offers to approve it again right after; confirm that too if your role allows it. Changing the capacity or prices of departures does not need approval.
The assistant does not delete or cancel anything. For that, use the builder and the tour list.

Running the tour
Departure states
| State | Meaning |
|---|---|
| Planned | Open for booking |
| In progress | Currently running, set automatically once the start date arrives |
| Completed | Finished, set automatically after the end date |
| Cancelled | Called off |
| Capacity full | Sold out. It goes back to Planned if seats are freed |
Confirming orders
An order paid through the payment gateway becomes Confirmed by itself once the payment goes through; there is nothing to confirm. An order on a plan paid in Cash or by Card number arrives Pending and stays there until you act.
- Open Tour Orders and filter to Pending.
- Read the passenger count, passenger details and the booking and passenger answers.
- Change status → Confirm or Cancel. It appears only on Cash and Card number orders.
The order details also show the seller and supplier share of the total, so you can see what the booking is worth.
Reviews
Tour Reviews has Pending, Approved and Rejected tabs.
- Approving publishes the review on the tour page and awards the customer their review points. Points are paid on the first approval only.
- Rejecting removes it from the tour page.
- Deleting removes it entirely, and the customer may write a new one for that order afterwards.
- You can reply publicly. Your reply goes live once the review is approved.
The sidebar shows a badge with the number of reviews waiting.
Promotion
| Want | Do |
|---|---|
| A tour shown with higher priority | Add to Recommended Tours from the tour list |
| Your catalogue on a home page | Add the Tour catalogue block in Home pages |
| Last-minute deals promoted | Add the Last-minute tour deals block |
| Tours browsable by category | Add the Tour categories or Tours by category block |
| A phone number on tour pages | Free Consultation |
The Last-minute tour deals block shows the departures on a deal today and links to a full Last-minute deals page, which customers can sort by Leaving soonest, Cheapest, Biggest discount or Fewest seats left, and filter by category. The block hides itself on days when nothing is discounted. Each deal card opens the tour with that departure already selected, and the booking shows the price paid today with the list price struck through.
Scenarios
A weekly departure every Saturday for six months
Bulk times: set the range, Weekly, every 1 week, tick Saturday, set the tour length and capacity. Check the projection, review the preview, create.
Back-to-back departures with no gap
Bulk times: Back to back, gap 0. Each departure starts on the previous one's last day. The preview will warn about overlap — that is expected, and capacity stays per departure.
The same tour at two price levels
One tour, two schedule plans — Standard and Premium — with different prices and different services. Give each its own departures.
A departure is not selling
Switch on the last-minute discount on its plan, and if this departure needs a different percentage, set an override on it. Then add the Last-minute tour deals block to your tour home page.
You need to cancel a departure that has bookings
Cancel the departure rather than deleting it, then cancel the affected orders in Tour Orders and contact the customers.
Raise prices on twenty future departures
Select them in the schedule times list and use Bulk edit with only the price fields switched on. Or open the assistant on that tour and give it the date range and the new price.
Important notes
- Tours have no markup. The price on the plan or departure is the price.
- Nobody else confirms a tour order. It waits for you.
- Cancel a departure that has bookings rather than deleting it. Bulk delete and Undo bulk create always keep departures that have bookings.
- Deleting a schedule plan deletes all its departures.
- Each tour is written in one display language. To offer the same tour in another language, duplicate it and write it in that language.
- Tours and plans carry an approval status — Approved, Pending Review, Change Requested — which controls whether they can be sold at all. What the owner, or a staff member allowed to change the status, creates is Approved straight away; what anyone else creates waits in Pending Review. Editing a tour's details or a schedule plan returns it to Pending Review.
