Tours

Tours are the one product you are the supplier for. You build the product, set the price, open the departures, and confirm every booking yourself.

Create Tour with AI Assistant is shown only while your platform operator has the assistant switched on and your role has the Tours → Assistant → Use access. Without either, the hub has five tiles, and Edit with AI is not shown.

One tour can have several plans; one plan has many departures.

Tour services​

Reusable inclusions — Airport transfer, Breakfast, English-speaking guide — that you attach to schedule plans. Each has a Service name of 3 to 30 characters and a Description of 3 to 100 characters. Build the ones you use often before your first tour, though you can create one mid-flow.

The builder​

The AI assistant​

The assistant builds a tour with you in a conversation, and changes a tour you already have. It does the same work as the builder, through the same rules, so everything it saves opens in the builder and lists like any other tour.

The page has two parts. Build with AI, on the side, lists your past conversations under Recent, the latest first; click one to reopen it. New conversation starts a fresh one. The conversation itself is beside it.

Listing a new tour​

Open Create Tour with AI Assistant and describe the trip in your own words. The assistant asks for what it still needs, a few questions at a time, in this order:

For each detail the assistant says whether it is required or optional, and you can leave an optional one empty. It goes through the optional parts as well, asking first whether you want each one: the details passengers give at booking, an extra cost, the limits on passengers per order, the plan's description, the questions asked per order and per passenger, and the last-minute discount.

It works from whatever you give it and does not ask again for what it can work out. It can write or improve the title and the descriptions for you. Ask it to fill in the rest, or to choose something itself, and it does, prices, capacity and dates included. It tells you which values it chose, and the card shows them before anything is saved. Unless you ask, it does not make up prices, dates or capacity; it asks for them.

For a trial run, ask for a sample tour: it makes up a complete tour and takes it through every step. Photos are the one thing it cannot make up.

When the tour has a photo, a schedule plan and a departure, the conversation shows Your tour is ready with View tours and Open in builder. You can go on changing the tour in the same conversation.

Picking from a list​

Whatever has a fixed set of choices is shown as a card in the conversation, not as a question to answer by typing: the category, the display language, the transport and accommodation type, the payment method, the tour services, the repeat pattern and the days of the week. Pick one, or tick several, and click Continue. A card marked Optional also has Skip. Yes or no questions have their own two buttons. The message box is closed while a card is waiting for you.

Changing an existing tour​

Edit with AI needs the Tours → Edit access as well.

The assistant can change the tour details, the photos, a schedule plan's content and prices, and the dates, times, capacity and prices of departures that are still Planned. It can add schedule plans and departures. For prices on many departures, give it a date range: it changes the Planned departures that start inside the range and tells you how many.

A conversation works on one tour. For another tour, start a new conversation.

Every change is confirmed​

Before the assistant saves anything it shows a card with exactly what will be saved, and Confirm and Reject buttons. For a change, the card lists each changed field with its value before and after. Nothing is saved until you click Confirm. Reject saves nothing, and you can tell the assistant what should be different.

On the card of a schedule plan, Edit and add images opens the builder's editor on the plan's description. Change the text and add images from your media library there, then click Use this text. It is saved with the rest when you click Confirm.

A change sends the tour or the plan back for review

Changing a tour's details returns the tour to Pending Review, and changing a schedule plan returns that plan to Pending Review, whoever makes the change. Customers cannot book it until it is Approved again. The card warns you before you confirm, and afterwards the assistant offers to approve it, which again needs your Confirm. If your role cannot change the status, someone who can has to approve it: the tour with Edit Tour Status in the tour list, a schedule plan with Change plan status on its schedule plans.

Changing the capacity or the prices of departures does not send anything back for review.

A plan's price is not the departures' price

A departure takes the plan's prices when it is created and keeps them. Changing the price on a schedule plan changes what new departures start with; departures that already exist keep their own price until you change them too. The assistant asks which one you mean.

The Tour photos window​

The window shows the photos already on the tour and lets you add more by dropping them in or with Browse: JPG, PNG or WebP, up to 5 MB each. Each photo can be previewed or deleted. Done closes the window once the tour has at least one photo. When the assistant asks for photos, Skip for now leaves them for later. Once the conversation has a tour, the Tour photos button at the top opens the same window at any time. When you add photos that way, the conversation is told and the assistant carries on from there.

What it does not do​

  • It does not delete a tour, a schedule plan or a departure, and it does not cancel a departure. Do that in the builder or the tour list.
  • It does not duplicate a tour or add it to the recommended tours.
  • It answers only about your tours in this panel. Anything else gets a short refusal.

Worth knowing​

  • It answers in English until you ask it to use another language, for example "please speak Persian". You can write to it in any language. The language it answers in is separate from the display language of the tour, which you choose for each tour.
  • Your role still decides what you can do. The assistant works with the tour accesses your role already has. If an action is not allowed, it tells you.
  • Conversations are private. You see only your own.
  • Your platform operator can limit the number of messages each user sends per day. When you reach it, the conversation shows You have reached today's message limit. You can continue tomorrow.
  • A conversation has a size limit. When it is reached, the conversation shows This conversation is full. Start a new conversation to continue.
  • If the assistant is unavailable, the conversation shows a notice with Try again. Nothing is saved twice: an action cut off by a reload is marked Interrupted and is not run again.
  • A Jalali date is converted for you; give the date the way you know it.

The tour list​

Tours are shown as cards with their code, status, category, organiser, origin, destinations, transport type and language.

Search by tour code, title, organiser name, category, origin or destination; filter by language; sort newest or oldest.

Recommended tours are displayed with higher priority on your storefront.

Statuses​

Schedule plans carry the same three statuses.

A tour or plan created by the store owner, or by a staff member whose role can change its status, is Approved straight away. One created by anyone else starts as Pending Review until someone with that access approves it. Editing a tour's details or a schedule plan returns it to Pending Review. Edit Tour Status and Change plan status offer Approved and Change Requested; they need the Tours → Change status and Tours → Schedules → Change status accesses.

Departures have their own states — Planned, In progress, Completed, Cancelled, Capacity full. In progress and Completed follow the departure's dates automatically, and a departure shows Capacity full once no seats are left. Only a Planned departure can be edited, and only a Planned or In progress one can be cancelled. Do not confuse these states with the approval status, or with an order's status.

Who sees which tours​

A staff member sees, edits and deletes only the tours and plans they created themselves, unless their role has the Manager level of that access, such as Tours → View list · Manager. The store owner sees everything.

What customers see​

Tours appear in your tour catalogue with their images, description, inclusions and available departures, but only while Static Tour is switched on in Seller Information and the tour is Approved with at least one Approved plan that has a Planned departure with seats left that has not ended. Departures on a last-minute discount also appear on the last-minute deals page, and a booking shows the discounted price with the list price struck through. Recommended tours are shown first.

Important notes​

  • Tours have no markup. The price on the plan or departure is the price.
  • You confirm every tour order yourself in Tour Orders.
  • Cancel a departure that has bookings rather than deleting it. Bulk delete and Undo bulk create always keep departures that have bookings.
  • Deleting a schedule plan deletes all its departures.
  • Deleting a tour removes everything related to it.
  • A tour is written in one display language. To offer it in another, duplicate it.
