Tour Orders

Bookings for tours you sell yourself, built in Tours. There is no airline or hotel supplier behind a tour, so what happens to a booking depends on the payment method of its schedule plan:

Payment gatewayThe customer pays online. The seats are taken from the departure at booking, and the order becomes Confirmed by itself once the payment goes through. You have nothing to confirm.
Cash or Card numberThe customer pays you directly. Nothing is charged at checkout and no seat is held: the order arrives Pending and stays there until you confirm or cancel it.

A pay-on-site order left at Pending is a customer who has heard nothing: they are only emailed their booking confirmation once you confirm. Work this list daily.

Finding an order​

The table shows Order number, Tour name, Passenger count, Total price, Status and Created at. The order number is click-to-copy.

Search by one field at a time:

  • Order number
  • Tour title
  • Passenger national ID — the fastest way in when a customer phones
  • Total price

Filter by Status, sort by Newest or Oldest.

Confirming or cancelling​

Change status appears on the row only for orders paid in Cash or by Card number. It opens a short form with two choices:

  • Confirm — you accept the booking. Its seats are taken from the departure's capacity, and the customer is emailed their booking confirmation.
  • Cancel — you cannot run it for this customer. Its seats are added back to the departure's capacity.

You can use it again later: a confirmed order can still be cancelled, and a cancelled one confirmed. Choosing the status the order already has is refused.

The change is also refused, with This tour is fully booked, when the departure's remaining capacity is lower than the number of travellers booked on it. Check the departure in Tours before confirming.

Gateway-paid orders have no Change status: they are confirmed automatically when the payment goes through.

Opening an order​

View details opens two tabs.

The order opens on its own page. Back to orders returns you to the list.

Order details​

Order Information — passenger count with its adult and child breakdown, receipt number, and the transaction tracking code.

Order Summary — order number, total price, when it was created, and the split: Seller share and Supplier share, each with the percentage applied.

Tour Information — destination and organizer, transport type with its title and description, and accommodation type with its title and description. This is the copy the customer agreed to at checkout.

Tour Schedule Information — the plan name, start and end dates, duration in days, start and end times, capacity, payment method, price per adult, price per child, commission and any extra cost.

Booking answers — how the customer replied to the questions attached to this tour.

Passengers​

One card per passenger, headed with its number and whether it is an adult or a child: name and last name in English, national ID, gender, date of birth, place of birth, and, when given, passport number, passport expiry and place of issue, followed by that passenger's own answers.

Check names against passports before confirming. A name correction after confirmation is a manual fix with the operator.

Troubleshooting​

Passenger answers are empty. The tour had no questions configured when the booking was made. Add them in Tours for future bookings.

There is no Change status on an order. It was paid through the payment gateway, so it confirms itself when the payment succeeds.

I confirmed the wrong order. Use Change status again to cancel it; its seats go back to the departure. A pay-on-site customer paid you directly, so any refund is between you and them.

Order information not found. The order was removed, or the link is stale. Reload the list.
