Order Notifications

An email to you whenever something is sold, and again when the order is completed — the ticket or voucher issued, the visa issued, the tour confirmed. The single most useful setting for anyone who does not sit in the panel all day.

The feature and both events start switched on, with no address. Nothing is sent until you type one.

Both events off means nothing is sent

The screen warns you: with the feature on but both events off, no notification is sent at all.

What it covers​

Every purchase in your store — flight, hotel, activity, tour, visa and payment link. When each email goes out:

Under Email when a ticket or voucher is issued, the panel says tours and payment links only ever get the order-placed email. Tours paid in cash or by card number do get a second email when you confirm them, and visas get one when you mark them issued.

What your email contains​

Deliberately more than the customer's copy:

  • The order number and the service
  • When it was placed
  • The amount paid — or, for a tour paid on site, the amount due on site
  • The customer's contact details
  • The booking details
  • A direct link to that order in the admin panel

That link is the point: it turns a notification into one click to the order.

Choosing the address​

Use a shared team mailbox. Order emails arrive at all hours, and are only useful if whoever is on shift can act on them.

Why this matters most for tours​

A tour paid in cash or by card number arrives Pending and only you can confirm it — see Tour Orders. The customer hears nothing until you do. Without a notification, such an order can sit unconfirmed for days.

Scenarios​

Only tell me when a sale happens​

Switch on the feature and Email when an order is placed; leave the issue email off.

Only tell me when documents go out​

The reverse. Useful if someone else watches sales and you watch fulfilment.

Your inbox is drowning​

Turn off the issue email. If you still want the documents themselves, switch on Voucher Copies with a separate archive mailbox.

Questions​

Can I send to more than one address? One destination email. Use a shared mailbox or a forwarding address.

Does the customer get the same email? No. Theirs is a customer confirmation; yours carries the order number, the amount, their contact details and a panel link.

Can I choose which products notify me? No. It applies to all purchases.

Why did I not get a second email for a tour? It was paid through the payment gateway, so it was complete at payment. Only tours paid in cash or by card number get a second email, when you confirm them.

If I switch it back on, do I get the emails I missed? No. Notifications start again from that point; nothing is replayed.

I have stopped receiving emails. Check the feature is on, that at least one event is on, and that the address is still valid.
